I own the operations consultancy, _systms™ . We work with the world’s most innovative startups, accelerators, and agencies to advance into their next phase of efficiency and growth.

Our tech stack is stupidly straightforward, and I believe every team’s stack should be—no matter how big or small.

Internally and when working with clients, we aim to keep operating costs low and optimize them using the fewest tools possible to reduce complexities and bottlenecks.

To give you an idea, here is the exact tool list we use:

  • Forms (free b/c affiliates) → Paperform

  • Mapping ($100/yr) → Miro

  • Invoicing (free + CC processing) → Stripe

  • Internal Planning (free b/c consultant) → Notion

  • Email ($72/yr) → Google

  • Calendar Scheduling (free) → Cal.com, Inc.

  • Video Recording ($100/yr) → Tella

  • Website ($200/yr) → Squarespace

  • Communication (~$100/yr) → Slack

Tech stacks don’t need to be complicated or expensive.

They need to be strategic.

When you are deciding to add another tool to your tech stack, consider the following:

1️⃣ Do I already have a tool that has this feature?
(aka is it necessary to pay for another tool)

2️⃣ What other features does this tool have that I can utilize?
(aka can I use it for more than just one thing)

3️⃣ Will it make my / my team’s job easier?
(aka what’s the learning curve, does it have automation and/or integrations)

4️⃣ Am I giving anything up by migrating away from the current tool?

Number 4 is crucial.

We have many clients who want to migrate from Honeybook to Notion and don’t realize that doing so requires adding ~three more tools for things like invoicing or forms.

All I’m saying is if it’s not broken… optimize it.

Sometimes, it’s easier to rebuild what you’re already using and trim the fat.
